In ocean shipping business, booking refers to the process where the shipper (the consignor or its agent, such as a freight forwarding company) applies to a shipping line or its agent for cargo transportation space and obtains confirmation. It is the starting point for transporting goods from the origin to the destination and a crucial foundational link in the entire ocean shipping logistics chain. Through booking, the shipper can secure transportation resources and ensure the timely loading and transportation of goods. Meanwhile, shipping lines can allocate their transport capacity reasonably and optimize the utilization of shipping space, achieving an effective match of resources between the two parties.

1. Booking Operation Process

  1. Requirement Confirmation: The shipper clarifies detailed information about the goods, including the goods' name, quantity, weight, volume, packaging form, port of loading, port of destination, latest shipment date, etc., and determines transportation requirements at the same time, such as whether special container types (refrigerated containers, open-top containers, etc.) are needed, and whether the goods are hazardous.

  2. Booking Party Selection: The shipper can choose to book space directly with the shipping line or through a freight forwarding company. Freight forwarding companies can offer more diverse shipping routes and more flexible services as they have access to resources from multiple shipping lines.

  3. Space Application: The shipper or freight forwarder submits a booking note (B/N) to the shipping line or its agent. The note includes information about the goods, transportation requirements, and details of the shipper and consignee, applying for the required shipping space.

  4. Space Confirmation: The shipping line reviews the booking note based on its transport capacity and booking demands. If the space is available, it will issue a shipping order (S/O) to the shipper or freight forwarder, confirming the successful booking and notifying information such as the vessel name, voyage number, bill of lading number, and estimated departure date.

  5. Subsequent Arrangements: After receiving the S/O, the shipper or freight forwarder needs to arrange cargo packing, customs declaration, and other matters as required, and deliver the goods to the designated location within the specified time, waiting for loading.

  1. Guarantee Transport Timeliness: Booking in advance ensures that goods have suitable shipping space, avoiding delays in goods shipment due to tight space availability and affecting the delivery date.

  2. Control Transport Costs: Freight rates vary among different periods and shipping lines. Reasonably arranging the booking time and selecting the shipping line helps reduce transportation costs.

  3. Standardize the Transport Process: The booking process clarifies the rights and obligations between the shipper and the shipping line, providing a basis for subsequent links such as cargo handover, transportation, and bill of lading issuance, ensuring the smooth progress of the ocean shipping process.
