Different forwarders quote different prices, carriers update surcharges every few weeks, and one missing detail can swing your cost by hundreds of dollars. There’s a funny thing about freight shipping rates: people assume it’s like checking the price of a plane ticket. You type in “Shanghai → Los Angeles,” press enter, and voilà — the cheapest option appears. We wish it worked like that.
But freight rates are more like asking a contractor, “How much to renovate my house?” The answer is always: it depends. Dimensions, weight, cargo type, destination, customs rules, seasonality, market demand, even port congestion — everything moves the number up or down.
Still, we can absolutely get an accurate quote, as long as we provide the right information from the start. And honestly, we’ve seen enough cases to know that 80% of misquoted shipments come from missing or unclear details. So, let’s break it down piece by piece — in the most practical way possible.
If we could give only one piece of advice, it would be this:
Exact cargo details = exact quote.
Even small changes matter.
Here’s what every freight forwarder (including us) needs to avoid guessing:
Exact weight (gross + chargeable)
Exact dimensions (not “around 1 meter,” but “100×80×60 cm”)
Number of cartons / pallets
Cargo type (electronics? clothing? chemicals?)
Packing method (loose boxes vs pallets vs crates)
Dangerous goods? If yes, need MSDS + UN number
Value of goods (affects insurance & customs rules)
We’ve had clients tell us:
“Each box is about… maybe… 10 kg.”
But when we pick up the shipment?
It’s 14 kg per box.
That changes the chargeable weight, the carrier used, sometimes even the whole shipping method. So before asking for a quote, double-check the numbers. Maybe weigh it twice. We do it ourselves.
The second thing that causes misunderstandings is Incoterms.
You don’t need to memorize all 11. But you do need to tell the forwarder things like:
EXW or FOB?
Who handles export clearance?
Where does responsibility begin?
Do you want DDP (we deliver to your door with duties paid)?
Each Incoterm changes the rate structure dramatically.
For example:
FOB Shanghai → Los Angeles
Only ocean freight + destination charges.
EXW supplier warehouse → Los Angeles
Includes pick-up, export customs, and terminal fees.
The more precise you are, the more accurate your quote becomes.
Sometimes clients ask:
“How much to ship from China to the US?”
But they don’t say by sea, air, express, rail, or DDP.
Ocean freight and air freight are completely different worlds.

Courier (DHL/UPS): Highest price, fastest transit
If you don’t specify the method, forwarders must guess — and guesses rarely give accurate numbers.
So tell us:
Do you prefer FCL or LCL?
Are you okay with air economy instead of express?
Is transit time or cost your priority?
Even saying something like “I prefer the cheapest option” is helpful.
We’re not asking for your home address for fun — the last mile is often what changes the quote most.
Examples:
“Los Angeles” is not the same as
“Lancaster” (remote area, extra fees).
“Chicago area” could mean
“Downtown Chicago” → normal fee
“Elgin, IL” → extended delivery zone
Same for China:
Picking up inside a high-density industrial zone costs less than picking up in a small town far from the port.
Precise addresses = precise trucking cost.
Sometimes people forget to mention important things such as:
Palletizing
Warehousing
Labeling (especially for Amazon FBA)
Repacking
Customs brokerage
DDP service (duties included)
Insurance
Each of these adds cost.
Leaving them out means the quote won’t match final billing.
A customer once said:
“I only need shipping.”
Then, later:
“Oh, also need palletizing, and labeling… and maybe repacking.”
That’s three different service layers — so of course the original quote changes.
Freight rates in 2025 behave like cryptocurrency.
Okay, maybe not that crazy — but close.
Reasons include:
Fuel surcharges
Carrier GRI (General Rate Increase)
Peak season updates
Port congestion
Space shortages
Global events
Currency exchange
Sometimes ocean freight increases twice in one month.
Air freight jumps during holiday seasons.

If you want the most accurate quote, ask close to your shipping date.
A quote from 30 days ago is basically a historical artifact.
